Medical Dispensary System

Introduction
Medication issuing in busy medical centres is often manual. Paper logs, key based cabinets, and memory driven checks create risk. The Medical Dispensary System was built to give medics a simple workflow while keeping tight control over every dose issued.

The Challenge
The client needed a system that could:

  • Store medication securely
  • Help medics find the right drug and quantity fast
  • Record who took what, for which patient, and when
  • Work in both fixed clinics and field environments

All of this had to operate with clear user interfaces and minimal training.

Our Solution
We designed a smart locker dispensary that works together with a tablet based application. Medication is stored in individual cells. Each cell is controlled by the system and can only be opened when a valid dispensing action is performed.

On the tablet, the medic looks up the patient or scans an order. The system suggests the correct medication and quantity based on the preset rules. Once confirmed, the tablet signals the locker, and only the correct cell unlocks.

Workflow in Use

  • Medic authenticates on the tablet with a secure login.
  • Patient or case is selected.
  • The required medication is chosen from the list with checks for strength, pack size, and quantity.
  • The system unlocks the specific cell and records the transaction automatically.
  • Stock balance is updated, and low stock alerts are generated for replenishment.

Results
The Medical Dispensary System reduces issuing mistakes, improves accountability, and shortens time spent on paperwork. Supervisors can review electronic logs instead of handwritten sheets. Losses and unexplained consumption are easier to detect.
